Xero bank CSV import errors: dates, mapping and file limits
If Xero rejects a bank CSV, first check the selected date format, column mapping and file structure. If it accepts the file but the dates look wrong, stop and compare them with the original statement before completing the import. You may only need to change Xero’s import settings, without buying another tool.
Start with the error, not another converter
| What you see | First check | Can SnapCommit help? |
|---|---|---|
| No valid statement data | Date format, whitespace, blank lines and source structure | It can check supported CSV structure and dates locally; it cannot diagnose your Xero account. |
| Dates are valid but in the wrong month | Day/month versus month/day in both the source and import settings | The free trial compares interpretations before you choose. |
| A timeout during import | File size and transaction count | It does not split a full file automatically. The first-15 trial is a sample, not a full export. |
| Missing bank-feed history | Which dates are missing, and which transactions already exist | It can prepare an existing CSV, but cannot restore feeds or detect overlap with your books. |
Xero’s official import-error guide lists incorrect date settings, spaces, blank lines and malformed data among possible causes. It advises splitting statements with more than 1,000 transactions. Check the current destination limits even if your preparation tool accepts a larger file.
Check Xero’s own mapping settings first
Xero can map CSV fields and confirm ambiguous date formats. After a successful import it remembers the mapping for matching column headers. If that solves your recurring task, you do not need a separate mapping utility. See Xero’s mapping and date-format instructions.
Worked example: a date that passes but means the wrong day
This fictional CSV is structurally simple, but its date order is ambiguous:
Date,Description,Amount
01/09/2026,Office supplies,-42.90
02/09/2026,Client payment,1250.00
| Source | Day / Month / Year | Month / Day / Year |
|---|---|---|
| 01/09/2026 | 1 September 2026 | 9 January 2026 |
| 02/09/2026 | 2 September 2026 | 9 February 2026 |
Both interpretations are valid calendar dates. A successful parse cannot identify which is correct. Compare a known transaction with the original statement. A date whose day exceeds twelve can help establish the convention, but still check for mixed formats. Choose the source order explicitly, then make the destination’s selected format match the exported dates.
When a separate preparation step is useful
Consider it when you already have a CSV and need to review several things together: separate money-in/out columns, number conventions, invalid dates or possible duplicate rows. The useful question is whether this saves you repeated manual edits across client exports—not whether it can rename three columns.
- Keep the untouched source. Use one account and currency per file.
- Open SnapCommit’s free bank CSV trial. Use a fictional sample first, or process your own supported CSV locally. Nothing is uploaded.
- For a larger file, choose Try the first 15 transactions. Only those rows are checked and exported; the original stays unchanged.
- Compare the date interpretations, confirm the amount signs and inspect flagged rows. Possible duplicates are kept, not deleted.
- Review a small test in your destination before continuing. SnapCommit does not know which transactions are already in your ledger.
SnapCommit bank CSV prep is beta. Actual Xero and QuickBooks imports have not been verified. This guide is independent of Xero and is not a compatibility certification. For the full local workflow, see the bank CSV worked example.
Limits and price before you spend anything
The web trial is free, requires no signup and exports at most 15 transactions. The current offline release costs $29 USD once plus applicable tax, for one person on their own devices. It includes bank CSV prep for up to 2,000 transactions and the financial-table cleaner. Xero’s import limits are separate; 2,000 rows in SnapCommit does not mean Xero accepts them in one import.
Bank inputs must be UTF-8 CSV, at most 500 KB, with four-digit years and supported amounts of at most two decimal places. PDF, image and Excel files are not supported. There is no bank connection, categorization, reconciliation or currency conversion. See all purchase details and limits before buying.
